Job Summary:
The Assistant Human Resources and Payroll Administrator will be responsible for providing support to the Human Resources and Payroll department.
REPORT CHAIN:
Human Resources Director
Primary Duties & Responsibilities:
- Provide administrative support to the Human Resources and Payroll department.
- Creates and maintain all the Employee Personnel files. Collect employee contracts for new hires, including SIN numbers, work visa information, banking information and travel insurance when applicable.
- Maintain and revise the company’s employee handbook on policies and procedures.
- Assist in the recruitment process, reading through all applications and setting up interviews for the recruiters.
- Sending out Seasonal Job Offer letters and compiling Staff List for Payroll.
- Prepare the orientation and on boarding process of new hires – ensuring all required sign offs are completed.
- Maintain the off boarding process – organizing exit interviews with the HR Director (where applicable).
- Prepare formal communications to employees and manage Staff Email Lists. Planning and creating the Staff Newsletters.
- Assist in organizing Staff Events.
- Maintain the organization of Staff uniforms, ensuring all outer uniforms are returned. Assist the HR Director with ordering new uniforms.
- Assist the HR Director with reviewing and keeping up to date with benefits and mental health programs.
- Assist with payroll and benefits administration.
- Assist the HR Director to build employee relationships and build morale.
- Maintain the employee surveys and performance evaluations.
- Provide employees with letters of reference, letters for PR or any other documentation required.
- Fax, photocopy and scan documents as required.
- Locate filed materials upon request ensuring materials are given only to authorized parties.
- Compile statistical reports concerning personnel-related data such as hires, transfers, performance appraisals, absenteeism rates and any other information as required.
- Assist the HR Director with researching new training programs.
- Adhere to all applicable federal and provincial regulations and company policies and stays up to date with BC Employment Standards, Personal Information and Protection Act and BC Humans Rights Act. Keeping up to date on any Government Grants.
- Other duties, relevant to the position, shall be assigned as required.
Job Requirements/Qualifications:
Education & Experience:
- Secondary School Diploma required.
- Human Resources Management or Payroll diploma an asset.
- Working towards CHRP or PCP designation, an asset
- 1 years' experience in a HR or Payroll role an asset.
- Proven ability to build strong working relationships.
- Experience with payroll systems, internal controls, and management.
