Who we are…

The Pacific National Exhibition is an iconic institution in BC, famous for bringing generations of people together to celebrate and build memories. This 112-year old, non-profit organization has an annual operating budget of approximately $58 million dollars and generates revenue through four activity streams:  the 15 day annual summer Fair which averages 800,000 guests each year, Playland amusement park which welcomes 375,000 guests annually including Fright Nights, year-round events including concerts, trade shows and film, cultural and community events.  The fourth activity stream is park care and facility maintenance.  The PNE is proud of the work it does at Hastings Park and has a vibrant team that is passionate about events, guest experience and being the best, we can be.

The Fair and Festival Operations department over sees PNE’s 3 main events: The Fair, Fright Nights and Winter Lights. Fright Nights at the PNE is Western Canada’s Scariest Haunt; key features are roaming Scare Actors, Haunted Houses and other attractions and atmospheric programming on-site within Playland. 

We are looking for one (1) motivated and hardworking individual who has a passion for the haunt industry and has extensive experience in office administration. The Operations Coordinator will report to the Assistant Production Managers & Program Manager, and will be responsible for assisting with all administrative tasks and supporting the Fright Nights supervisory team.

Our ideal candidate will possess strong organizational & communication skills and will have a background in office administration, production, theater or film. The Operations Coordinator will work in compliance with all health and safety requirements as determined by WorkSafeBC, and all other applicable legislation and company policies.

 What will you do?

Pre-Event

• Prepping manuals and documents for scare actor & supervisor training.
• Audition call backs.
• Scheduling casting into respective training & rehearsal dates.
• File management.
• Inventory management.
• Payroll duties.
• Administrative tasks.

Event Responsibilities

• Daily administrative tasks.
• Scheduling & maintaining cast listings.
• Actor & Supervisor Payroll.
• Assisting daily Prep team with makeup room and green room assembly and tidiness.
• Preparing daily call sheets.
• Preparing daily supervisor binders / clip boards.
• Supporting the management & actor team courteously and in a professional manner.
• Other duties as assigned and required through Fair and Festival Operations for Fright Nights.

What else?

• Must have successfully completed grade 12.
• Post-secondary education or training in a relevant discipline such as Office Admin, Arts, Theatre, Acting, Make-up, TV/Film or other related discipline, or an equivalent combination of education and experience is considered an asset.
• Must have previous coordinating and office administrative experience.
• Must have exceptional interpersonal skills and can effectively communicate with staff and guests.
• Excellent communication, relationship management and leadership skills.
• Previous experience working in the administrative industry is preferred.
• Experience in events, film/TV, theater, creative or production is considered an asset.
• Experience within the Halloween Industry is considered an asset.
• Experience working in a unionized environment is considered an asset.
• Ability to work in a team environment or independently.
• Must be proactive with the ability to trouble shoot and remain calm in stressful situations.
• Ability to spend a large part of the workday in an office working on a computer.
• Must be willing and able to work a flexible work week; extended hours, evenings and weekends as operationally required.
• Successful candidates must undergo a Criminal Record Check.
