Job Description:
Role
Reporting to the Manager of Community & Visitor Engagement, the volunteer and events position is a key resource in delivering Community & Visitor Engagement initiatives and activities throughout the Central Okanagan. Overseeing Tourism Kelowna’s team of 60+ volunteers, this position requires excellent relationship-building and problem-solving skills. The event-focused part of this role will manage the Tourism Kelowna mobile events schedule throughout the year and will be responsible for organizing and scheduling Tourism Kelowna’s attendance at various events. This position requires work on weekends and holidays.
Responsibilities Specific to Position
- Shared accountability for the operation of Tourism Kelowna’s downtown Visitor Centre including customer service, stocking, organization, maintenance, and cleaning;
- Supervision and coordination of front-line staff when other management is unavailable;
- Organize, oversee, and co-ordinate mobile visitor services schedule and event registration;
- Coordinate and conduct the distribution of Tourism Kelowna printed material, creating monthly progress reports, and maintaining accurate inventory utilizing Simpleview CRM;
- Oversee the stocking, inventory, and organization of the Airport Information Kiosk, Orchard Park Guest Services, and Visitor Centre brochure displays and storage rooms;
- Coordinate, schedule, and train Tourism Kelowna volunteers;
- Monitor volunteer’s years of service, monthly hours, and meeting attendance for volunteer program;
- Collect, compile, and report statistical information from three Visitor Centre and mobile locations in accordance with Destination BC and Tourism Kelowna guidelines and consolidate into peak period, monthly, and yearly report;
- Updating and maintenance of digital signage in the downtown visitor centre and airport kiosk locations;
General Responsibilities
- Assist Tourism Kelowna with increasing stakeholder communication and training through in-person, email, telephone and social media interaction;
- Maintain a superior level of customer service and a high level of community knowledge through ongoing training;
- Welcome all visitors, determine needs and service by providing complete and accurate information;
- Keep Visitor Centre grounds tidy, keep interior clean, orderly, and organized;
- Attend monthly staff meetings, and scheduled familiarization tours;
- Behave and dress in a professional manner at all times, including wearing the provided uniform;
- Assist with planning, booking, and execution of events in the Kelowna Visitor Centre;
- Assist with the sales and promotion of Tourism Kelowna’s Advertising programs including digital displays, static display areas, brochure racking, and other programs as they are developed.
- Other duties as assigned.
Job Requirements/Qualifications:
- Exceptional customer service skills based on consultative inquiry;
- Excellent verbal and written communication skills; second language an asset;
- Previous volunteer management experience an asset;
- Attention to detail and ability to handle multiple projects concurrently;
- Strong leadership, decision-making, and relationship-building skills;
- Experience in management skills;
- Superior computer and technical skills;
- Experience with content management systems (CMS) and customer relationship management systems (CRM);
- Goal and results-oriented, ongoing commitment to business improvement and efficiencies;
- Positive attitude towards work, colleagues, stakeholders and tourism industry;
- Excellent knowledge of tourism opportunities within the city of Kelowna, region and province;
- Must be able to lift and maneuver 30 lb. boxes;
- Class 5 driver’s license required.

$44,000/year
