Prestige Hotels and Resorts’ Corporate Office is looking for a part-time or full-time Office Coordinator to join our team in downtown Kelowna.

Scope of Responsibility

The Office Coordinator serves as the first point of contact for visitors to the corporate office. This role performs administrative support and maintains upkeep of the office. The successful candidate will be energetic, a self-starter, organized and supportive of others.

General Duties:

– Welcomes visitors by greeting them in person or on the telephone; answering or referring inquiries
– Maintains safe and clean office area
– Provides administrative support to the executive team
– Coordinates travel schedules, and use of company vehicles
– Prepares and maintains organized documentation
– Organizes and maintains network files
– Other duties and projects as assigned by the Chief Operating Officer

Guest Services Support Duties:

– Monitors company email correspondence; answering or referring inquiries
– Issues guest resolution letters as directed by the VP of Sales & Marketing
– Handles reservations for gift certificate bookings and/or guest resolution letters
– Handles contra bookings and tracking
– Prepares gift certificates and tracks their use
– Conducts research into prospective new clients in a variety of markets including corporate, sports, association and SMERF, and then conducting cold/warm calls and emails to potential new clients in an effort to secure future business
– Processes all direct billing requests, verifies credit references, and lets clients know how much an account is approved for

Human Resources Duties:

– Provides administrative support for Recruitment & Selection
– Referencing, job postings, updating job descriptions
– Supports the updating of and development of training materials for Prestige Online Training
– Updates the Policy and Procedures Manual and other manuals as assigned by the HR Coordinator
– Assists VP of Organizational Development and HR Coordinator as required

Operations Duties:

– Supports liquor licensing under the direction of the Operations Administrative Assistant
– Supports purchasing for Corporate Office and the hotels (under the direction of the Operations Administrative Assistant), which includes:
– Monitors and organizes inventory of supplies for corporate office and the hotels; orders supplies as required
– Assists with product and service quote sourcing
– Tracks bulk supply items for re-billing to locations
– Assists with invoice review/approval for product and services
– Assists with local errands for purchasing and/or projects
– Assists with maintaining and updating lease asset lists

Salary/Wage

$19 - $22 per hour
