PURCHASING AGENT
BUSINESS OPERATIONS DIVISION
UNIVERSITY OF VICTORIA STUDENTS’ SOCIETY

FUNCTION:
1. Coordinates and administers all inventory control, ordering, shipping, and receiving for UVSS Food Services and some other UVSS businesses and services.

ORGANIZATIONAL RELATIONSHIPS:
1. Reports to and is responsible to the General Manager.
2. Works closely with the Food Services Manager in addition to Sous Chefs, Chefs de Parties, Manager of Accounting and Payroll, Manager of Catering and Conferences as well as relevant UVic Purchasing and outside suppliers.

ORGANIZATIONAL BACKGROUND:
1. Founded in 1964, the University of Victoria Students’ Society (UVSS) is an incorporated membership based non-profit that is autonomous from the University and provides advocacy, services and events to all undergraduate students at UVic.

Responsibilities & Qualifications

DUTIES:
1. Responsible for proactively planning and ordering all necessary Food Service products for the UVSS, supporting smaller purchases for additional operations as required.
2. Responsible for conducting the hiring for the Purchasing Assistant(s) and making a recommendation to the General Manager for approval.
3. Responsible for the training, scheduling, evaluation, and day-to-day supervision of the Purchasing Assistant.
4. Responsible for associated all shipping, receiving, ensuring rotation is followed.
5. Responsible for daily and monthly inventory counts, cost of sales reports, variance reports, controls and record keeping of all incoming and outgoing products.
6. Ensures adequate lock up and security of inventory/storage areas.
7. Coordinates Purchasing Assistant and assists with the transportation of food, beverage, supplies, and equipment to the other divisions as required.
8. Keep up to date data base of capable suppliers and contractors.
9. In conjunction with the General Manager, is responsible for contract negotiations with suppliers and assisting with the marketing and promotion of Food Services.
10. Ensures accurate invoice coding and collaborates with Accounting to facilitate efficient handling of accounts payable, claims, rebates, etc.
11. Seeks additional sources of supply, keeps abreast of new products and technology, obtains catalogues and other product reference material and relays pertinent information to Food Services operations.
12. Provides up to date product information such as prices, name, and location of suppliers, delivery terms, and arrangements upon request.
13. Responsible for back of house POS system with respect to pricing and screen display.
14. Ensures that all products meet all provincial and federal regulations.
15. Supports menu and recipe costing in conjunction with the Food Services Manager.
16. Review monthly financial statements for the operation and recommends solutions to variances for review by the General Manager.
17. Ensure staff follow all UVSS policies and procedures as well as the USW Collective Agreement, notifying the General Manager of any breaches.
18. Identify operational problems, opportunities, and recommended courses of action, for the General Manager.
19. Ensures that Food Service operations are safer spaces, in collaboration with the General Manager.
20. Other related duties as assigned by the General Manager and/or the Food Services Manager.

QUALIFICATIONS:
Required:
1. Valid Purchasing Management Association of Canada certification and/or an equivalent combination of schooling or direct experience in supply chain management.
2. Minimum three years’ experience purchasing, contract negotiation, product receipt and rotation, marketing, and promoting food and beverage products.A tactful, cooperative, diplomatic manner, and ability to work compatibly with others.

4. Valid Food Safe Level II.
5. Ability to work in pressure situations and to coordinate several tasks concurrently.
6. Experience with computer word processing, spreadsheet, and data base systems/programs including Microsoft office.
7. Demonstrated knowledge and experience programming POS systems.
8. Ability to work independently with little supervision.
9. Commitment to a high standard of customer service.
10. Strong verbal and written communication skills.
11. Strong attention to detail, organizational, prioritization and problem-solving skills.

Preferred:
1. University or technical institute education.
2. Experience working and/or managing in a unionized environment.
3. Demonstrated respect for various abilities, genders, sexualities and socioeconomic realities.
